Job Description

A.         In respect of existing Construction Contracts :

1-                  Review tender file.

2-                  Review existence of contract documents (ensure originals are in safe custody and only copies are available for reference).  Where agreements have not been executed or contract documents are incomplete, follow up with Project Managers and Clients to ensure that agreements are executed and contract documents are complete. 

3-                  Review correspondence file to determine extent of disputes or differences.

4-                  Have discussions with Project Managers and Senior Coordinator to determine whether there are any issues with clients or vendors.

5-                  Review Bill Files and ensure Certificates have been obtained and are up to date.

6-                  Review extra items, variations and claims.  Discuss with Project Managers and ensure these are followed up.

7-                  Review orders on major vendors and suppliers.  Ensure order formats are improved. 

B.        In respect of tenders being worked on prior to submission :

1-                  Review the contract conditions and make notes of issues which need to be drawn to the attention of management (see the list of issues which we have prepared and improve so that we have a "corporate policy" on contract issues).

2-                  Prepare draft of the tender covering letter to accompany the tender offer.

3-                  On securing the project, follow up to ensure that agreement is executed and contract documents are complete.

C.        In respect of vendors / sub-contractors :

1-                  Review standard formats for

–        Appointment of labour contractors.

–        Purchase Order for materials.

–        Work Orders for sub-contractors.

2-                  In respect of major sub-contractor orders, review the work order before it is issued.

3-                  Engage in constant discussions with Project Managers to ensure that issues with vendors are kept in control.

D.        Parties with whom we have arbitration litigation :

1-                  Review files to update knowledge of issues.

2-                  Support our legal representatives with documentation and material to assist the dispute resolution process.
