Job Description
Executive Assistance:
1. Organize and coordinate for Conferences and meetings, schedule and confirm appointments and meetings of employer/senior managers
2. Maintaining and creating manual and computerized information filing systems with the required level of confidentiality
3. Executive Calendar management
4. Co-ordination with the direct reportees of Director as well with other functional heads of the company
5. Drafting letters and data tracking
6. Office Correspondence & Filing
7. Data management and Report Generation on Weekly, fortnightly and Monthly basic (optional)
8. Handling board line calls
9. Supervising Housekeeping facility which is outsourced
Office Management & Travel Desk:
1. Handling all types of admin work (Stationary Inventory and procurement management,pantry record Management, negotiations in purchase orders of Gift Articles) Self correspondence
2. Travel arrangement, Hotel booking as per senior’s instructions.
3. Handling incoming and outgoing customers calls and looking after clearing all possible issues to ensure smoother working of system
4. Organizing meetings / seminars / conferences/official parties/ party with meetings/get together
Guest Management:
1. Managing Danaher Guest Itenary
2. Hotel booking and local hospitality support
3. Local travel arrangements
4. Visa arrangements
Human Resource :
1. Birthday emails and managing birthday funds
2. Co-ordinating for interviews with the candidates and conveyance reimbursement
3. Maintaining the CV databank
4. Managing the Inhouse magazine
5. Being a part of Fun Committee
6. Being a part of labour Fun activites
7. Joining formalities , medicals co-ordination during induction and also scheduling induction with HOD’s
